How does a recording become a finished document?
Verbiform first creates a transcript of your recording. It then looks for details supported by what you said and places them into the appropriate fields of the template you selected. Depending on the feature, it can also draft summaries, action items, notes, and other structured content. You can review and change the result before deciding what happens next.
Can Verbiform get something wrong?
Yes. Speech recognition and field matching can make mistakes, especially when audio is unclear, names are unusual, or information is incomplete. Verbiform shows which fields came from the recording and flags uncertain information for review. Check important details before signing, sharing, or relying on a finished record.
Can I see where a field came from?
Yes. When Verbiform fills a field from a recording, it can show the exact words used and take you back to that point in the audio. You can confirm the value without searching through the entire recording.
What happens when information is missing?
If the recording does not clearly support a field, Verbiform leaves that detail for review instead of presenting it as confirmed. Depending on the template and confidence level, you may see an empty field, a suggested value, or a notice asking you to confirm the information.
How do I get the most accurate results?
Clear audio helps most: record close to the speaker, keep background noise down, and say names, numbers, and key terms distinctly. You can also add the names and terms you use often to your vocabulary so Verbiform recognizes them, then review any flagged fields before you finalize the document.
Does Verbiform make the final decision?
No. Verbiform helps organize and draft the record, but you decide what belongs in the finished version. You can edit, accept, remove, or add information before the document is completed.

How templates shape the result, and what the finished document can be.
Where do the templates come from?
Verbiform includes a library of 150+ ready-made templates across many kinds of work, and every one is free to use. You can also build your own field by field, or import a fillable PDF you already use.
Can I use my own form or PDF?
Yes. Import a fillable PDF and Verbiform fills the real document’s fields, or design a template of your own. Your custom templates and imported PDFs sync to your other devices when you’re signed in.
What does the finished document look like?
Your choice. Styled templates come out as a designed, branded document — your logo, your colors, one of eleven themes — while others produce a clean, plain layout. Either exports as a PDF you can review, sign, and send.
Can I change a value after it’s filled?
Yes. Every field is yours to edit, accept, remove, or add to before the document is finished. Nothing is locked in by the transcription — the draft is a starting point, not the last word.
Privacy & security
What leaves your device, who processes it, and how your account is protected.
What leaves my device?
Your choice. When you choose cloud processing, your recording is sent to the providers named in our Privacy Policy for the most accurate results. Prefer to keep it local? Switch on “This device only” and transcription, speaker labels, and auto-fill run in your browser — nothing is sent out to be processed. Record backup is a separate setting under Devices, Sync & Backup.
Do you sell my data or train AI on it?
No. We don’t sell your data, and we don’t use your records to train AI models. Your content is used only to provide the features you turn on, as the Privacy Policy describes.
How is my account protected?
Sign in with Google, Microsoft, or an emailed code. You can see every device that’s signed in and sign any of them out, and your plan sets how many can be signed in at once — so a shared or lost login is easy to shut off.
Can I take my data out, or remove it?
Yes. Export your records at any time, and deleting your account removes your account-linked content from Verbiform. The Privacy Policy covers what each provider retains and for how long.
Sharing & limits
What you can share, what a signature means, and the honest limits of the tool.
How do I share a finished document?
Send a read-only link the recipient can open with no account, or export the PDF and share it however you like. Sharing is always your action — nothing sends itself.
What happens to a signature if the record changes?
The signature is set aside. A signature is tied to a fingerprint of exactly what was on the record when it was signed; if the content changes afterward, Verbiform sets the signature aside rather than show it over words that were never signed — and the same check runs when you export the document and when a customer signs off through the portal.
Is Verbiform a compliance or certification system?
No, and we won’t claim otherwise. It’s a documentation tool — not a regulated-records, compliance, or certified e-signature system. AI can still get a value wrong, which is why filled fields cite their source and uncertain ones are flagged before you rely on them.
Does anything happen automatically?
No. Verbiform drafts and organizes; you decide what is saved, signed, shared, or sent. Nothing is finalized or delivered without you.
